We were reading a article by Jeff Callahan about “How to Beat the Enrollment Recession” and wanted to share how you can implement some of his tips by using RenWeb surveys!
One of the tips that Callahan received from successful independent schools he polled was that they conducted regular post-event or post-admissions surveys of parents to get insights that raw statistics could not always provide.
Here are some of the questions Callahan suggests asking in the survey:
How did you hear about our school?
What was your favorite part of the admissions process?
What do you think could be improved in the admissions process?
Why would you refer/not refer our school to another parent?
If you want to learn how to build a survey in RenWeb, read this blog post.

Did you know that you can upload your school’s newsletter to ParentsWeb? A few things to remember first:
Here’s how to do it:
Are you concerned that you could spend all day uploading individual student school pictures into their RenWeb Student screen? Don’t worry! There’s a faster way to upload all your school pictures! Here’s how to upload an entire folder of pictures at a time:
Good luck and don’t forget to smile!
We came across an article in USA Today about how educators across the US are using creative strategies to encourage regular attendance. According to the article, schools are trying the following to encourage good attendance:
Before you start searching for a celebrity to record wake-up calls for your students, try something a little easier! Many studies (like in this article from The John Hopkins University or in this fact sheet from the Michigan Department of Education) cite parent involvement as a key factor in improving attendance. This article, from the Center for Public Education, cites two studies that found that communicating with families using targeted content about attendance can increase average daily attendance rates and reduce chronic absences at elementary schools and secondary schools. Get your parents involved in their student’s attendance by using Attendance Notifications in RenWeb’s Attendance tool! There are several options you can select when you create an Attendance Notification. You can select the type of attendance (period attendance, day attendance, etc.) as well as the time frame that the notification should assess (a single day, current term, current semester, current year or custom). One of the most important items is your ability to select the threshold—or how many absences a student must have before an email is sent. Once you’ve prepared those Attendance Notification parameters, your final selection will be who receives the notification.
Parents: The email will be sent to any and all parents who are marked as custodial in the family screen.
Advisor: The email will be sent to the individual selected as the student's advisor (in the Advising tab of the Student screen).
School Representative: the user must type an email address.
If your school has a subscription to Parent Alert, you can also send notifications using that service! Read more about how to use it here.
Did you know you can create electronic student portfolios in RenWeb? There are three popular types of student portfolios and each serves a different purpose. They are:
Each portfolio type can work in conjunction with the others! For example, a student can use work from their working portfolio to prove they have met class requirements in an assessment portfolio. Then, for a Parent Exhibition, for example, a student could pull work from the working or assessment portfolio to create a display portfolio. Teachers say one of the best things about student portfolios is that they encourage students to take ownership and pride in their work. So how do you get started creating a student portfolio in RenWeb? It’s easy! First, here are the things you can upload to a portfolio in RenWeb:
Here is where you can access the Portfolio feature:
To upload a new document to a student’s portfolio using FacultyWeb, first navigate to the Portfolio feature.
Select the Class in which the student is enrolled for whom you want to upload a document.
From the Upload File area, select the Student Name.
Click Upload.
Click Browse or click in the File field.
Select the file and click Open.
Type a Note if desired.
Click Submit.
Once the file is completely uploaded, close the window or upload another document.
What if a student with a severe peanut allergy forgot their medication at home? Configuring a student alert can help notify your faculty of the situation.
You can figure alerts from the Student screen or the Medical screen.
From the Student or Medical screen, click the Alerts button. The Student Alerts screen opens.
Type an Alert Name.
Type a Description.
Click Save.

We recently had a question on our Facebook Page about parent/teacher conferences in RenWeb. You can document parent/teacher conferences and you can use this feature in both RenWeb Desktop and FacultyWeb. Here is how to do it:
From the Main Menu, click Students. The Student screen displays.
From the students list, select a student.
Click the P/T Conference tab. The P/T Conference screen displays for that student.
Click New (right).
From the date drop-down list (top), select the date of the conference.
Select the Teacher who created the event.
Type in a Subject to describe the event.
Under Location, select the type of conference: Phone, In-Person, or Email/Mail.
Under Reason, check the reason for the conference: Academic, Conduct or Other. If Other, a short explanation can be entered in the text box (right).
In the Observation text box (right), enter the specific details of the problem. If the Administrator has created a list from which to choose, check the appropriate problem.
In the Recommendation and Parent's reaction/comments text boxes, enter the school’s recommendation(s) for the student and the parents’ response or comments.

Rick Newberry, President of Enrollment Catalyst, wrote a blog post about why schools should start blogging. One of the most interesting facts in Rick’s blog post is that having a school blog could increase the traffic to your website. It’s not just a small potential bump in traffic either. HubSpot found that companies with blogs got almost 55% more visitors!
Check out Rick’s top five reasons to start a school blog here.
Does your school have a blog? We’d love to check it out! Leave a comment or email us at socialmedia@renweb.com.
Do you want to find out what your school’s parents are thinking about? Create a survey in RenWeb!
In the example above, we created a survey for parents to communicate their thoughts regarding a uniform policy.
Here is how to create a survey for your school:
Click the New button.
Type a Name for the survey.
Enter in pertinent configuration information for the survey:
Instructions: These will be visible to the user when taking the survey.
Questions: The number of questions in the survey.
Begin and End Date and Time: These designate when the survey will be open for participants to access. The times must be entered as Eastern Standard Time. Be sure to adjust for the local time zone.
Classroom Survey: Indicates a special type of survey to be administered to students enrolled in a specific class or classes. This is useful for administering surveys that are satisfaction surveys for each individual class.
Anonymous: Indicates that survey results will not contain the name of the respondents. Once a survey is created as anonymous, it cannot be turned off. This protects participants from being identified at a later time.
Share Survey with Other Instructors: Survey can be viewed or copied by other instructors who use RenWeb.
Click the Save Configuration button.
To enter the first question, click on the number 1 in the center list box.
Select the Question Type:
Single Choice: the user may select only one answer.
Multiple Choice: the user may select all answers that apply.
Essay: the user is allowed to type in a multi-line answer.
Type the Single Choice/Multiple Choice Selections. It is possible to select the Remember Multiple Choice Answers option if the Multiple Choice Selections will be repeated for multiple questions.
Click Save Question button.
Repeat until all questions have been added.
How do you choose who should take this survey?
Click the Members tab.
Choose the Survey for which to add members from the drop-down menu.
Choose the desired Filter to determine the members to add to the survey from the drop-down menu.
Choose Family (Parents), Staff or Student from the second drop-down menu.
Arrow over the desired names from the student or staff list. It is possible to look at the selected members by clicking the View Survey Members button.
Click Apply to save and stay or OK to save and exit to the main RenWeb screen.
Once you have selected the members, administration of your survey is automatic and will be available through ParentsWeb at the times you determined in setup!
You may be familiar with some of the features of Parent Alert already—like emergency notifications or the ability to send parents an instant alert when buses are running late from a football away game—but did you know you can also send attendance notifications to parents*?
You can use Parent Alert to automatically send alerts to parent phones via a recorded voice call, text message or a text to speech call when their student has reached a pre-determined number of absences or tardies.
If desired, click the Parent Alert tab in the notification area of the Attendance Notification.
You may utilize all or selected Notification types:
Voice Message: Select the saved voice message from the drop-down menu to send a voice alert if a student reaches the specified number of tardies or absences.
Text Message: Type in a message of 140 characters or less to be sent to the parents of the student who has reached the specified number of absences or tardies. You may use the Variable List options if desired. (You may copy and paste variable items from the Email Notification tab if desired.)
Text to Speech: You may type a message to be read by a computerized voice. You may copy and paste information, including variables, from the Email Notification area directly into this area for the computer to read.

The RenWeb Team would like to welcome all of our customers back to school! We look forward to providing you the best possible service this school year.
Did you know that August is RenWeb's heaviest month for providing customer support? In fact, the number of support requests we receive in August is roughly twice the average monthly level we handle for the rest of the year.
The fastest way by far for you to get answers to your RenWeb questions is through our live Support Chat service. Our average response time for Support Chat is approximately one minute. It's easy to access and convenient to use so why wait in the phone queue when you can get faster service via Support Chat?
To access chat, click on the Support Chat button at the bottom of the RenWeb Main Menu. You will find that the majority of your questions can be answered via chat. But when that is not the case, our chat specialist will instruct you to call into Phone Support so you can speak to a live member of our support staff.
We look forward to chatting with you!

Did you know RenWeb schools have already processed over 6,000 online applications for admission into the 2012/2013 school year?
Online Application simplifies the application process for prospective parents. That enables your school to generate more applications earlier in the year than ever before, providing you a head start on other schools in your area with which you compete for new students. If you want to launch Online Application for the 2012/2013 admissions season, you still have time. Sign up today by going to Report Manager > Products & Services > Online Application Sign Up and complete the online form. A RenWeb project manager will then contact you to begin the setup process. Does your school give parents a way to make school payments online? If not, consider the fact that:
Don't let your school fall behind. Given the statistics mentioned above, we expect the percentages to be even higher among parents who send their children to private schools given their typical age range, income bracket and educational background. Your parents are not only accustomed to using electronic commerce and online banking, but likely anticipate having the option of online bill pay. Pay Now, powered by FACTS/NBS, not only gives your parents the option of making safe and secure online payments directly from ParentsWeb, but it even automates the accounting for your school. Pay Now is easy to use and there's no need for parents to apply or qualify in advance. They simply input credit card or bank information and confirm the payment! The payment immediately posts to family account balances inside RenWeb and clears charges. To learn more about how Pay Now can help you offer online payments for school parents, please join us for a FREE webinar.

Trinity Christian Switches to RenWeb in Search of Better Parent Communication, Higher Teacher Satisfaction and Live Help-Desk Support
July 19, 2011 – RenWeb School Management Software today announced that the company has achieved the 2,000-customer milestone as schools continue to convert to RenWeb at a rapid pace to benefit from RenWeb’s power, integration, affordability and ease-of-use. Since January of 2008, RenWeb has added more than 1,000 new private schools to the company’s customer base, reinforcing RenWeb’s position as the leading provider of Internet-based school management systems for private schools. Trinity Christian School, located in Windsor, CT, is the latest example of the wave of conversions to the industry leader. Trinity made the switch to RenWeb from a cheaper Web-based program in search of improved parent communication, higher teacher satisfaction and the widely accessible live help-desk support that is part of RenWeb's offering. Brad Lee, Chief Executive Officer of RenWeb, stated, “RenWeb’s rapid ascension to the 2000-school milestone – doubling our customer base in less than three-and-a-half years – is a testimony to an offering our competitors just can't match: not just unparalleled power, integration and ease-of-use, but also the enhanced value of world-class customer service and support, including a well-staffed Live Help Desk, all for one affordable price.” Cathi Sasportas, Public Relations and Development Director for Trinity Christian School, said of their decision to invest in a higher-quality school administration program: “Before switching to RenWeb, our school had been using a cheaper Web-based system, but we didn’t feel it was fulfilling our needs. The parents at our school thought it was not user-friendly, and many just refused to use it because they felt it was complicated and took too many clicks to get to each child’s grades, assignments and notes from their teachers.” Continued Ms. Sasportas: “Our teachers were also dissatisfied and complained that our old program was not meeting their expectations. Teachers felt common tasks such as recording grades were difficult and took much longer to complete than they should have taken. The cheaper program’s issues were even more aggravating because of their lacking Help Desk support. Our faculty and staff members were told they were not allowed to communicate with the Help Desk unless they were deemed a “Super User” – a designation granted to only two people in the school. Plus, when the Super Users called with questions, they were asked to check the manual and jump through several hoops before someone would answer their questions.” Ms. Sasportas added: “Because of our frustration, I did some research and talked to other schools about their experiences with RenWeb. I found that all the schools I spoke to were thrilled with RenWeb. I was excited to learn of all its features: how easy it is to use; how it will help us communicate better with our families; and that there is easy access to live support if we have a question – something we did not have before. We're excited to know RenWeb has a very accessible Help Desk that even our teachers can access. The staff was very happy to hear about the Live Phone Support and Live Chat Help that is available during business hours. This will help us in a great way.” Concluded Lee, “Trinity Christian School’s experience is typical of what we’re hearing from many schools who have switched to us from cheaper Web-base programs: it's not enough to get a low price – schools need the accessible and responsive customer support they now enjoy with RenWeb. We truly stand by our product and with our customers.” Ease-of-Use Enhanced by Easy-to-Access Customer Support RenWeb’s value to schools is greatly enhanced by the world-class service and customer support that RenWeb makes easily accessible to schools: 1. Call directly into RenWeb’s toll-free line at 1-866-800-6593. 2. Initiate a Live Chat session with a member of the customer support team. 3. Submit a request into the RenWeb Customer Support tool to receive a callback from the support team. 4. Submit an after-hours Ask-A-Question with a guaranteed email response the following day. 5. Access the robust and exhaustive Online Help database, including more than 150 demonstration videos that walk customers through various tasks in RenWeb. About RenWeb RenWeb’s Power, Integration, Ease-of-Use and Affordability are demonstrated daily in more than 2,000 customer schools as the leading provider of next-generation Internet-based school information systems. RenWeb’s unmatched convenience and service include complete installation of the software, including conversion of data, along with a client interface that provides easy access to more than 185 integrated features. Developed by a university dean, RenWeb is leading the migration of schools from client server-based to Web-based systems, bringing administration, parents, students and the classroom together with anytime, anywhere access to a full range of services. In light of the recent heavy storms and tornadoes, are you evaluating your school's emergency preparedness for the next school year? Best practice suggests you should have your disaster procedures planned and documented before a crisis occurs so you are following a carefully crafted emergency action plan rather than making decisions at the heat of the moment. To that end, a thorough communication plan should be a part of any school's emergency action plan to ensure that the school community is aware of next steps. We'd like to recommend you consider Parent Alert as part of your communication plan the next time you review your emergency procedures. Parent Alert distributes instant notifications to your parents and school community via text messages to cell phones and PDAs; voice calls to work, home and cell; and emails to multiple addresses. If your school is not charging an application fee, you could be missing out on the opportunity to increase your income without reducing the number of applications you receive. Online Application is the key. It simplifies completion of the application process for parents, resulting in more submitted applications and higher enrollments, while providing schools early access to data from partially completed online applications, enabling early communication and marketing to prospective families. Schools are also utilizing RenWeb’s enhanced Admissions Tracking process to better manage their admissions funnel. It's not too late for your school to use Online Application still for this school year. It takes three weeks on average for our Online Application project managers to set up a school and have you set up to receive online Application payments. The one-time cost of an Online Application setup by a RenWeb project manager is $295 per school. There is then a $20 processing fee per submitted application to cover online processing costs. To sign up for Online Application today, go to Report Manager > Products & Services > Online Application - Sign Up and complete the online form. A RenWeb project manager will then contact you to begin the setup process. If you haven't participated in an Online Application demonstration yet, you can sign up for one of the upcoming FREE webinars by clicking on the link below.

Would you like to see that kind of fundraising success this fast at your school? Like this flourishing school, your school may have constituents who prefer to make online donations rather than fill out and mail paper checks. If that is true, Donate Online could be the answer for you!
Using Donate Online, schools can simply add a link to an existing Fundraising area on their website to begin accepting online credit card payments.
Donate Online also makes it easy for schools to take their fundraising to the next level by creating complete Online Giving areas for their websites, using simple web pages provided by RenWeb. These comprehensive pages can include an overview of the school's fundraising program, descriptions and photos for the school's various campaigns, and a secure donation button for submitting gifts. (See Donate Online Example .)
If you would like to learn more about Donate Online please register for one of our free webinar demonstrations listed below.
