Did you know you can create electronic student portfolios in RenWeb? There are three popular types of student portfolios and each serves a different purpose. They are:
Each portfolio type can work in conjunction with the others! For example, a student can use work from their working portfolio to prove they have met class requirements in an assessment portfolio. Then, for a Parent Exhibition, for example, a student could pull work from the working or assessment portfolio to create a display portfolio. Teachers say one of the best things about student portfolios is that they encourage students to take ownership and pride in their work. So how do you get started creating a student portfolio in RenWeb? It’s easy! First, here are the things you can upload to a portfolio in RenWeb:
Here is where you can access the Portfolio feature:
To upload a new document to a student’s portfolio using FacultyWeb, first navigate to the Portfolio feature.
Select the Class in which the student is enrolled for whom you want to upload a document.
From the Upload File area, select the Student Name.
Click Upload.
Click Browse or click in the File field.
Select the file and click Open.
Type a Note if desired.
Click Submit.
Once the file is completely uploaded, close the window or upload another document.
We have had a number of follow-up questions to our recent announcement regarding the September 30, 2012 end to the introductory pricing period for RenWeb Learning Management powered by Moodle. Following is a list of those frequently asked questions and answers.
Q: If we sign up for the free 90-day trial of RenWeb Learning Management (RLM) by the deadline of September 30, 2012, how long are we locked into the introductory pricing schedule?
A: You are locked into the introductory pricing schedule indefinitely. You will not convert to the new 10/1 price schedule if you sign up for the trial by 9/30/12.
Please note that there will be a Consumer Price Index (CPI) adjustment to the price each year (usually 1% to 3%) to help offset the effects of inflation on our contractor and labor costs. This is the same adjustment we make each year to the RenWeb maintenance fees paid by schools. This CPI adjustment will be addressed in the agreement you will authorize at the end of the trial.
Q: If we sign up for RLM trial by September 30, and later want to increase our number of users of disk storage level, will we still be charged the introductory price level or the new 10/1 price?
A: For schools that sign up for the trial prior to 9/30/12, we will honor the introductory pricing schedule even after 9/30/12 if they want to increase their storage or number of users.
Q: If we sign up for the trial, but at the end decide not to authorize the agreement right away, can we sign up for the paid service later and still get the introductory price?
A: No. To receive the introductory price you must authorize the agreement for the paid service immediately at the end of the trial or you forfeit the introductory pricing opportunity.
Q: If we are not sure if we want Moodle or what it can do, how do we learn more?
A: We have a Moodle demonstration today, September 27, 2012, at 2:00 PM CST. Click here to register for it. You can keep checking this page for future demonstration dates as well.
What if a student with a severe peanut allergy forgot their medication at home? Configuring a student alert can help notify your faculty of the situation.
You can figure alerts from the Student screen or the Medical screen.
From the Student or Medical screen, click the Alerts button. The Student Alerts screen opens.
Type an Alert Name.
Type a Description.
Click Save.

We recently had a question on our Facebook Page about parent/teacher conferences in RenWeb. You can document parent/teacher conferences and you can use this feature in both RenWeb Desktop and FacultyWeb. Here is how to do it:
From the Main Menu, click Students. The Student screen displays.
From the students list, select a student.
Click the P/T Conference tab. The P/T Conference screen displays for that student.
Click New (right).
From the date drop-down list (top), select the date of the conference.
Select the Teacher who created the event.
Type in a Subject to describe the event.
Under Location, select the type of conference: Phone, In-Person, or Email/Mail.
Under Reason, check the reason for the conference: Academic, Conduct or Other. If Other, a short explanation can be entered in the text box (right).
In the Observation text box (right), enter the specific details of the problem. If the Administrator has created a list from which to choose, check the appropriate problem.
In the Recommendation and Parent's reaction/comments text boxes, enter the school’s recommendation(s) for the student and the parents’ response or comments.
Click OK to save and exit to the Main Menu or click Apply to save and continue working in the Student screen.

You may be familiar with some of the features of Parent Alert already—like emergency notifications or the ability to send parents an instant alert when buses are running late from a football away game—but did you know you can also send attendance notifications to parents*?
You can use Parent Alert to automatically send alerts to parent phones via a recorded voice call, text message or a text to speech call when their student has reached a pre-determined number of absences or tardies.
If desired, click the Parent Alert tab in the notification area of the Attendance Notification.
You may utilize all or selected Notification types:
Voice Message: Select the saved voice message from the drop-down menu to send a voice alert if a student reaches the specified number of tardies or absences.
Text Message: Type in a message of 140 characters or less to be sent to the parents of the student who has reached the specified number of absences or tardies. You may use the Variable List options if desired. (You may copy and paste variable items from the Email Notification tab if desired.)
Text to Speech: You may type a message to be read by a computerized voice. You may copy and paste information, including variables, from the Email Notification area directly into this area for the computer to read.

Q: What is the difference between ParentsWeb Mobile and the RenWeb Home App?
A: Both provide access to the same ParentsWeb information. ParentsWeb Mobile uses a free mobile-friendly browser. RenWeb Homeaccesses the information using an app, which provides additional features only an app can offer, including the ability for parents to:
Q: Why are you charging parents a $4.99 subscription fee to access ParentsWeb using the RenWeb Home App? Shouldn’t that be included in the fees we pay RenWeb already?
A: Parents can access ParentsWeb for free using our desktop browser or through ParentsWeb Mobile. If parents want the additional convenience and features available only through an app, they have the option to purchase a subscription to the app. RenWeb uses the fees to help fund all of our mobile-friendly development, including RenWeb Home, ParentsWeb Mobile and RenWeb Staff, our iPhone/iPad app for faculty.
Q: How do parents access ParentsWeb Mobile?
A: To access ParentsWeb Mobile, parents simply use their mobile device to navigate to their normal ParentsWeb Login Page and they will be redirected to the ParentsWeb Mobile Login Page.
Q: Will ParentsWeb Mobile work on both an iPhone and Android phone? How about iPads and Android Tablets?
A. Yes. RenWeb Mobile works on an iPod, iPhone, Android Phone, iPad and Android Tablet.
Q: How do parents access the RenWeb Home app?
A: Parents should use their iPod, iPhone or iPad to search the App Store for RenWeb Home and then install the RenWeb Home App. RenWeb Home is offered by the App Store as an In-App Subscription. That means a parent or student installs the App for free, and then purchases an annual subscription to the App the first time they access it. That single annual subscription then covers every iPod, iPhone or iPad used by every member of the family as recorded in RenWeb.
Q: Why do you show the app as Free, and then ask parents to pay the subscription fee once they try to log into the app?
A: This is certainly not our choice or preference. To offer RenWeb Home as a subscription, the App Store forces us to manage the subscription “In-App”, meaning the parents must first download the app and access it before they can purchase a subscription to the app.
Q: Why didn’t you just allow parents to purchase the app once and avoid the subscription?
A: We evaluated this option. The problem was that every member of the family that had a separate iTunes account would have to make separate purchases of the app, forcing some families to make as many as four purchases. We felt this was excessive. By managing the app as an In-App Subscription, we were able to let all members of the family share the single subscription.
Q: Does the school have to manage the annual subscriptions for the families?
A: No. There is nothing the school needs to do. That is handled through the integration between the App Store and RenWeb.
Q: How do we explain this to parents?
A: We have provided a one-page communication document that you can provide to parents via email or during your upcoming Parent Night. It can be accessed by navigating from the RenWeb Main Menu to Report Manager > Training and Documentation > ParentsWeb Mobile: Parent Communication. There is also a full explanation of the process in RenWeb Home’s description in the Apple App Store.
Q: Can our staff access the RenWeb Home App for free?
A: Yes. If the staff member has students in the school they can access RenWeb Home for free. If they do not have students in the school, then they will not be able to log into RenWeb Home given it is only for parents and students. Faculty with no students should continue using the RenWeb Staff App or FacultyWeb.
Q: We have staff members who are being asked to purchase a subscription to the app for $4.99 when they try to access it. Why is that happening?
A: It is likely that the staff member has two person records in RenWeb - one as a staff member, and a separate record as a parent with students in the school. To correct this, merge their parent record in RenWeb into their staff record. Then they can access RenWeb Home for free.
Q: What should we tell the staff member to do if they are asked to purchase a subscription the first time they access the app?
A: Tell them to stop and wait for you to complete the merge process. Then they will be able to log into the app for free.
Q: We want to keep the separate staff and parent records for the staff member. What do we do?
A: In general, we don’t recommend that as a best practice. The only way we can provide the staff member free access to ParentsWeb Home is if their parent record shows they are a staff member as well. Otherwise, the staff member will have to purchase the $4.99 annual subscription from the App Store to access RenWeb Home.
Q: When will RenWeb offer an app for Android phones?
A: That development is underway. It will be released in the Android Market later this Fall. For now, parents on Android devices should use ParentsWeb Mobile.

We’ve had several questions about RenWeb Portal since we debuted it at the 2012 Power Conference. This FAQ list will hopefully serve to answer some of your most pressing questions!
Q: What is RenWeb Portal?
A: RenWeb Portal is a modern replacement for the RenWeb Desktop that is browser-based, meaning schools will no longer have to download a desktop application to access RenWeb’s features. RenWeb Portal will make both RenWeb’s administrative and faculty features available through a browser.
Q: What browsers does RenWeb Portal support?
A: All major browsers including Internet Explorer, Safari, Firefox and Chrome.
Q: Will it work on a PC and Mac?
A: RenWeb Portal works equally well on a PC or Mac since it is browser-based.
Q: How about a tablet or Smartphone?
A: RenWeb Portal was not designed to work on a tablet or Smartphone. RenWeb Staff is our current solution for iPhones and can work on an iPad in 2X Mode. RenWeb Staff HD, which is being designed specifically for the iPad, takes RenWeb Home to the next level by taking advantage of the iPad’s larger screen size to add additional feature areas to this mobile solution.
Q: When will a RenWeb Portal Preview be available?

A: We have no planned schedule for turning off access to the RenWeb desktop. We believe schools will naturally want to use the new RenWeb Portal, but will not be forced to do so until they are trained and ready to make the transition.

Here’s how to do it:
From the Home screen, click Classes. The list of classes to which you have access displays.
Select the class for which to take attendance.
Click on the (ATT icon). The class selected on the Classes screen displays.
Group attendance is used to enter the same attendance code for a large number of students at the same time. For example, do you have an athletic team that needs to leave early for the day to attend a game? Or an entire grade level going on a field trip?

Have you ever wondered what makes Online Application and Online Enrollment different?
Online Enrollment is intended for new students that have already been accepted into school, and returning students that are re-enrolling.Online Application is for students who are initially applying to the school.
Online Application is accessed by prospective parents through your school’s public website. Online Enrollment is accessed through a secure ParentsWeb login available only to parents within your school community, including parents of new students.
Online Application presents to prospective parents online demographic forms that are blank so parents can initially enter their information. Online Enrollment presents to parents pre-populated demographic forms so parents can simply update any demographic or contact information that has changed from what RenWeb has on record.
Finally, Online Enrollment typically has different supplemental forms that are requested from parents than the supplemental forms requested from applying parents in Online Application.

Q: Is it possible to begin working on Next Year’s schedules prior to completing the End of Year Progression?
A: Yes, you can work on class schedules for the next academic year during the current academic year by changing the date on the Main Menu.
Q: What do we do if the school needs a report card or transcript, but has already completed the progression?
A: Since you have archived the student Report Cards and Transcripts, you are able to go to the Students screen, select the student, go to the Portfolio area and print.
Q: How do I run Class Rank and Honor Roll for the previous year if I have already completed progression?
A: There is no way to run Class Rank and Honor Roll for a previous year once progression has been completed for a school year. You must run Class Rank and Honor Roll prior to progressing.
Q: How do I get my enrollment numbers from last year?
A: You can see a list of enrolled students as well as the total number of enrolled by accessing the Student screen Historical filter. 1. From the Main Menu, click Students. 2. Select the Historical Filter option and click on Enrolled. 3. Select the Year for which to see the list of students and total number of enrolled students.

A: Yes. Online Enrollment is integrated with Online Application. They will both display the same designs, school branding and school colors on the online forms presented to parents. They also share the same processes and content management system so if you know how to use Online Application, then Online Enrollment will require very little new training.

Q: Are teachers responsible for unexcused Absences and Tardies? A: That is the school administration's decision. The Administrative staff can edit a teacher’s mark of Absent to Excused Absence or Unexcused Absence at a later time. The school can choose whether or not to give the faculty access to all attendance codes, such as AE or AU. Q: Do I have to save attendance? A: No, clicking the attendance codes into the grid automatically saves the attendance record. Q: Can I change an attendance code for a student if he or she shows up late to class and I've already entered Absent? A: Yes. If you’ve marked a student absent and he or she shows up late for class, highlight the Tardy code and click the Absent code you wish to change. Q: Can teachers override attendance/tardy status assigned by the office or vice versa? A: Yes, it is possible for attendance/tardy codes to be changed; however, school policy will dictate who is responsible for updating codes.
In July, we released new ParentsWeb/FacultyWeb login pages and upgraded both FacultyWeb and ParentsWeb to support our new login methodology. Q: I understand that we can charge staff for lunches, how do I set the staff up to be financially responsible?
A: There are two ways to do this depending on whether they have students in the school or not:
If the staff member does not have a student, select the Family button on the staff screen. This will create a family for this staff member. Make sure that you select the check box that says financial responsibility and then apply. Also, make sure that you select the Auto button in the top middle to change the family name configuration. After that, select the family name in the drop down box on the staff screen that's marked as financial responsibility.
